• Explore Travel Planners LLC acts only as an agent for airlines, hotels, tour operators, and other suppliers of services and shall not be held responsible for any injury, loss or damage caused by accident or event beyond their control, or by any action or negligence of any persons who are not in their employ. Explore Travel Planners LLC can accept no responsibility for losses or additional expenses due to delay or changes in air, sea or other services due to sickness, weather, strike, war, or other causes. The right is reserved to make adjustments in the itinerary if deemed necessary. Prices are accurate at time of quote and are subject to change until trip is paid in full.  We are not responsible for the acts or omissions of the Suppliers or their failure to adhere to their own schedules, provide services or refunds, financial default, or failure to honor future trip credits. In the event that a Supplier defaults prior to providing the service to you for which payment has been made, the sole recourse for refund shall be with the defaulting Supplier, from insurance covering such defaults if any, or from other responsible third party. We have no special knowledge regarding the financial condition of the Suppliers and no liability for recommending a trip credit in lieu of a refund.


• Review Your Travel Documents Immediately: Once tickets and confirmations have been issued, it is your responsibility to review and inform us of any errors. Suppliers may have penalties for modifications or refunds. We do not have control over printed prices on the tickets, although some tickets may have BT (Bulk fare) printed on them, and some may have a specific value on them, which may be different (lower or higher) than the fare collected.


• Risks Related to COVID-19: You agree that it is your personal decision to travel, and you are doing so with full knowledge of current travel recommendations and travel restrictions with regards to the risks of COVID-19. We have no responsibility for COVID-19-related requirements that travel suppliers and governments may impose from time to time, such as health affidavit forms, health screenings prior to departure or upon arrival, face coverings, exclusions, closures, or quarantines. For the latest travel supplier requirements, check the supplier’s home page.


• Other Risks of Travel and Release: We assume no responsibility for and shall not be liable for the acts or omissions of any party not under our control, or any acts of God, unsafe conditions, terrorism, health hazards including pandemics, illnesses, weather hazards, or the suitability for a disabled person of any portion of any trip. We have no special knowledge of dangers during travel or at destinations. For information related to such dangers, we recommend going to the State Department travel website at www.travel.state.gov, click on "Find International travel Information” then click on "Country Information", and fill in the name of the destination country. For medical and health information, we recommend going to the Centers for Disease Control website at www.cdc.gov/travel, then click on “Destinations” and scroll to the name of the destination country. It is your personal decision to travel, and you are doing so with full knowledge of current travel recommendations and travel restrictions with regards to the risks of COVID-19. YOU HEREBY EXPRESSLY ASSUME ALL OF THESE RISKS AND DANGERS, AND YOU HEREBY EXPRESSLY AGREE TO FOREVER RELEASE, DISCHARGE AND HOLD US, AND OUR AGENTS, EMPLOYEES, OFFICERS, DIRECTORS, ASSOCIATES, AFFILIATED COMPANIES, GUIDES, GROUP LEADERS, AND SUBCONTRACTORS HARMLESS AGAINST ANY AND ALL LIABILITY, ACTIONS, CAUSES OF ACTIONS, SUITS, CLAIMS, AND DEMANDS OF ANY AND EVERY KIND AND NATURE WHATSOEVER WHICH YOU NOW HAVE OR WHICH MAY HEREAFTER ARISE OUT OF OR IN CONNECTION WITH THESE RISKS AND DANGERS.


• Travel Insurance: For your protection, we strongly recommend that you purchase trip cancellation and travel accident insurance. Please note that, unless you buy a cancel-for-any-reason policy, most policies have a specific clause stating they do not cover epidemics and pandemics, especially when travel warnings are in place. We are not qualified or authorized to answer technical questions about benefits, exclusions, and conditions of any of the insurance offered, nor evaluate the adequacy of your existing insurance coverage. No representation or description of the insurance made by our staff constitutes a binding assurance or promise about the insurance. You agree to hold us harmless for your election not to purchase travel insurance or for any denial of claim by travel insurer as it relates to COVID-19 or any other claim under the policy.


Driver’s Licenses, Passports, Visas, and Other Foreign Entry Requirements: It is your responsibility to obtain and carry a valid passport, visa(s), and all other documents required by applicable government regulations. Beginning on October 1, 2021, you must present a driver’s license or another form of identification that complies with the requirements of the Federal Real ID Act (see www.dhs.gov/real-id for more information). If traveling internationally, you must have a valid passport and, depending upon the destination and nationality, you may need to obtain one or more visas, even for countries that you transit for a flight change. The name, date of birth and gender that appears on the identification card must exactly match the same such data that is listed on airline ticket(s) and booking records. We strongly recommend that you take into account that certain countries will not admit a passenger if their passport expires within six (6) months of the date of entry. Non-United States citizens may require additional documentation. Children and infants also require all such travel documents. Minors traveling with one parent, and/or without both parents, may be stopped and not admitted, unless authenticated and verified consent forms are provided to the authorities. Parental or legal guardian consent must be provided to the supervising adult/group leader. You acknowledge any failure to strictly comply with these requirements may result in denied v boarding or an undue delay at an airport security checkpoint causing you to miss flight(s), and subsequent scheduled travel bookings on cruises and tours. Check each Supplier’s website to ensure you and all members in your travel group or party obtain and carry travel documentation required. Each foreign country holds different views of past criminal offenses, whether within or outside of their boundaries. If you have a current or past offense, and you are unsure how the country you are traveling to (or through) views that offense, please contact that country directly for entry and exit requirements. We feel it is an invasion of privacy for any member of our staff to make such an inquiry. 


Domestic Travel Identification Requirements: Passengers, 18 years or older, are required to present a valid, government issued "REAL" photo ID at check-in and prior to boarding the flight. Failure to present proper identification can result in denied boarding and ticket cancellation fees may apply. **It is the traveler's responsibility to provide the correct documents and failure to do so may result in being denied boarding for the flight. Please note, cancellation and/or change fees will apply for rescheduling travel arrangements because of denied boarding situations.


Air Travel: Flight details including departure times are always subject to change by the airlines and are not under the control of Explore Travel Planners LLC. It is the traveler’s responsibility to check in for the flight on-line 24 hours in advance and reconfirm all gates, times and seat assignments. For international flights, traveler(s) need to reconfirm flight details directly with the airline. Seat assignments are requested at time of booking when possible however they are subject to availability and can change without prior notice. Please be aware that many Airlines charge extra fees for advanced seat assignments and preferred seating. These fees are not included in our quotes and will be an additional cost, where applicable, if you choose to confirm a seat assignment. If seat assignments are listed as "airport check-in only" the customer needs to confirm a seat directly with the airline prior to departure. Be advised that required airport check-in times vary by airport and departure city. The traveler is responsible for verifying the check-in requirements for the trip. Each airline has their own baggage fees, requirements and limitations. Such fees are not included in the price of airline tickets and/or packages and will be collected by the airline at time of check-in, when applicable. Check with the airline for baggage fees. 


Airport Security Update: Starting July 19th, 2017, all flights departing to the USA will be subject to a secondary security screening of all electronics larger than a cell phone (laptops/ipads/tablets, etc). Travelers will be asked to remove all covers or casings from electronics prior to check-in. In addition, any electronic equipment in disrepair or broken screen will not be allowed to travel. As always, our priority is to offer the best service, avoid any delays and make sure you arrive to the airport 3 hours prior to their flight as advised by TSA (Transportation Security Administration) and CESAC (Specialized Forces for Airport Security and Civil Association).


Changes and/or Cancellations: Cancellation, revision and refund polices for changes or unused travel/components vary and are subject to the policies of each supplier. Cancellation penalties can range up to 100% depending on how close to departure the written notification is received. Air, insurance premium and no-shows are always non-refundable. Please be aware that the change and cancellation schedule is on your itinerary.


Travel Insurance: Explore Travel Planners LLC strongly recommends the purchase of Travel Insurance that can help minimize the monetary loss incurred due to unforeseen events beyond your control such as: cancellation, missed connections, baggage loss, trip delay, and especially medical emergencies. 


Payment Submission: The lead passenger is responsible for making on-time payments of their reservation. Explore Travel Planners LLC takes no responsibility for reservation cancellation and/or rate changes due to late payments. In addition, by submitting a payment on your booking, you agree that you have verified the accuracy of your itinerary (including, but not limited to, name spelling as it appears on a Passport/government-issued documents, travel dates/times & accommodations) and you are aware that your reservation is non-refundable and nontransferable. 


Special Requests: Explore Travel Planners LLC cannot guarantee fulfillment or requests for special arrangements, such as, but not limited to, bedding, seat assignments, smoking preference, car type, room location, etc.
